Business Operations Coordinator — Office of the Founder
深圳市,
China
Early Career | Technology Company | High-Growth Opportunity
WanYongWeiWang and its related companies are entering an important growth stage. Our technology is developed, our market opportunities are expanding, and the number of activities happening simultaneously across product development, manufacturing, customers, partners, sales, and company operations is increasing rapidly.
We are looking for an unusually capable early-career person who wants to learn how a technology company is built from the inside.
This is not a traditional administrative position, and it is not a management position.
It is a coordination role positioned close to the founder and the operating decisions of the company.
Your job is to understand what has been decided, capture the details accurately, organize the resulting activities, and help make sure the right people have the information they need to keep things moving.
What the role looks like
The founder may outline ten subjects in a conversation—some immediate, some dependent on other work, some involving several different people.
A strong coordinator leaves that conversation understanding:
what was actually decided;
what still needs a decision;
who needs to know;
what actions should occur;
what depends on something else;
what dates or commitments matter;
what needs to be checked later; and
what should be brought back to the founder rather than decided independently.
Then you help keep those details moving without requiring the same conversation to happen again.
You become a reliable source of organizational context.
When someone asks, “What did we decide about this?” you should frequently be able to answer—or quickly locate the answer.
When several activities are interacting, you should recognize the dependencies before they become problems.
When something doesn't make sense, you should ask.
And when something clearly falls within an already-established direction, you should be able to move it forward without unnecessary supervision.
What you will do
You will work across many parts of the company and may:
Attend important discussions and convert them into accurate decisions, action items, owners, dependencies, and follow-ups.
Maintain project and operating trackers across multiple company activities.
Follow up with team members on outstanding activities and surface potential problems before deadlines are missed.
Help coordinate suppliers, customers, partners, meetings, events, travel, hiring, projects, and internal initiatives.
Maintain records of important decisions so information doesn't disappear into meetings, email, or memory.
Prepare concise status summaries for the founder and team.
Coordinate schedules involving multiple people, locations, dependencies, and constraints.
Research questions and organize information needed for decisions.
Recognize when something can proceed under an existing decision and when it needs to be escalated.
Help convert broad objectives into organized sequences of activities.
Learn the company's products, customers, terminology, and operating priorities well enough to understand the context behind the work.
The subject matter will vary. The underlying responsibility will not:
Understand the objective, capture the details, and help the organization execute reliably.
An important distinction
This role works closely with company leadership, but does not derive authority from that proximity.
You are not the founder's enforcer, a junior manager, or a “small boss.”
Your influence comes from being accurate, helpful, organized, informed, and trusted.
You may remind someone of an agreed commitment, clarify an existing decision, find information, coordinate activities, or surface an issue.
You do not invent policy, issue orders on the founder's behalf, or turn incomplete information into authority.
Knowing that distinction is important to succeeding in this position.
The person we're looking for
We care considerably more about demonstrated capability than years of experience.
This could be an excellent first or second professional role for someone with a background in business, operations, engineering, project management, entrepreneurship, logistics, communications, or another discipline that developed strong analytical and organizational skills.
You are likely to excel here if you:
Take exceptionally accurate notes and naturally capture details other people miss.
Listen carefully enough that people rarely need to explain the same thing twice.
Can distinguish an objective from an action item and an action item from a decision.
Are comfortable keeping track of many small commitments without losing sight of the larger objective.
Have strong judgment about what you can resolve yourself and what should be escalated.
Notice conflicts, missing information, scheduling problems, and dependencies early.
Follow through reliably.
Communicate clearly and concisely.
Are comfortable asking a precise question when something is genuinely ambiguous.
Learn unfamiliar subjects quickly.
Treat confidential company, technical, financial, customer, and personnel information with exceptional discretion.
Can work with highly candid discussions without becoming distracted by personality or politics.
Are comfortable in an environment where priorities evolve as a growing company learns.
Like making complicated things organized.
What we do not require
We do not expect you to arrive knowing our technology or industry.
We do not expect years of corporate experience.
We do not need someone who already knows how to manage people.
We do expect evidence that you can think, learn, organize information, exercise judgment, and reliably finish what you start.
A simple example
Imagine coordinating a complicated business trip involving several cities, customer meetings, flights, hotels, ground transportation, personal scheduling preferences, changing meeting times, and people joining different portions of the trip.
Booking the flights is the easy part.
The real job is noticing that a meeting now ends 45 minutes later, which makes the original flight unrealistic, which changes the hotel arrival, which conflicts with another commitment the next morning—and resolving that sequence before anyone gets stranded.
Company operations work the same way.
We want someone who naturally sees those connections.
Why this role is unusual
You will have exposure to decisions and subjects that early-career employees at larger organizations may not encounter for years.
You may be involved in discussions spanning:
product development;
manufacturing;
customers and partners;
finance;
sales;
hiring;
technology;
supply chain;
company strategy; and
day-to-day operations.
The right person can develop a broad understanding of how an emerging technology company actually operates.
As your judgment, knowledge, and reliability increase, the scope of the role can increase with you.
We are looking for someone we can invest in over the long term—not simply someone to fill a collection of administrative tasks.
Qualifications
Preferred:
Bachelor's degree or equivalent demonstrated capability.
Approximately 0–3 years of professional experience.
Strong written English and professional communication skills.
Strong proficiency with modern productivity tools.
Evidence of exceptional organization, analytical thinking, or project execution through school, work, entrepreneurship, extracurricular activities, or personal projects.
Excellent interpersonal skills and communication skills.
Ability to, and interest in, international and domestic travel.
Most importantly, we want evidence that you are dependable, perceptive, curious, organized, discreet, and capable of learning quickly.
